CHECKWORLD EXPEDITION GUIDELINES

While CheckWorld is dedicated to helping young people understand the world’s civilizations and cultures, we are equally committed to their safety. We maintain an uncompromising commitment to operational security, structural safety, and the preservation of the community standards that define our expeditions. These policies ensure the safety of participants, compliance with local customs and traditions, community standards for all programs, and a rewarding journey for every participant. Participation in a CheckWorld expedition constitutes a formal agreement to adhere to these protocols.

I. DEFINITIONS

*  CheckWorld: Refers to the organization’s executive leadership and the Expedition Navigators responsible for the coordination, supervision, and execution of the mission.

*  Programs: All formal cultural inquiries and expeditions facilitated by CheckWorld.

* Questers: Refers to the participating Organization’s sponsored participants and their convoying Chaperones.

II. TERMS And CONDITIONS

A. Eligibility and Logistics

* Capacity Adherence: Participating Organizations must strictly comply with the group count authorized by their Expedition Permit.

* Engagement Requirements: CheckWorld missions are structured for participants capable of full engagement with the itinerary. We do not currently provide specialized care facilities or dedicated accessibility infrastructure.

B. SAFETY AND OBLIGATION

* Priority of Safety: The well-being of all participants is the primary operational priority. CheckWorld provides clear structural supervision throughout every phase of the program.

* Coordination: Questers are required to remain coordinated with Expedition Navigators and maintain absolute attentiveness during all transitions and field studies.

 

C. DOCUMENTATION AND MODIFICATIONS

* Operational Media: CheckWorld reserves the right to document the expedition (images, video, and feedback) for mission archives and promotional use. Parents/guardians may specify limitations regarding photo consent during the formal registration process.

* Structural Adjustments: CheckWorld reserves the right to modify or reroute any program activity without prior notice if unforeseen circumstances impact the security or well-being of the Questers.

III. RULES And RESPONSIBILITIES

A. Questers (Youth Participants)

* Group Integrity: Questers must remain within the designated group at all times and utilize the “buddy system” without exception.

* Conduct: Questers must treat fellow participants, Navigators, and host communities with the respect required of a global citizen.

* Directive Compliance: Strict adherence to the instructions of Navigators, chaperones, and cultural custodians is mandatory.

* Operational Engagement: Participants must actively contribute to the inquiry to ensure the depth of the cultural experience.

* Health: Questers must immediately notify chaperones of medical concerns.

* Equipment: Questers are responsible for the management of their personal belongings. CheckWorld is not liable for lost or stolen items.

* Presence: To maintain focus on the mission, the use of electronic devices must be restricted during all active cultural sessions.

B. CONVOYING CHAPERONES

* Supervision: Chaperones must maintain a constant, watchful presence to ensure their assigned group adheres to all security protocols.

* Crisis Readiness: Chaperones must possess immediate access to the medical records of their group and be fully briefed on emergency procedures.

* Facilitation: Chaperones act as the bridge between CheckWorld and the participants, supporting engagement and ensuring a seamless operational flow.

 

C. PARTICIPATING ORGANIZATIONS AND GUARDIANS 

* Administrative Accuracy: Organizations must ensure all contact details and logistical schedules are verified and updated.

* Medical Disclosure: Parents/guardians must provide a comprehensive medical profile, including allergies and pre-existing conditions. For international missions, this includes proof of vaccination and valid prescriptions.

* Documentation: For trans-border expeditions, guardians are responsible for the validity of passports, visas, and all legal travel documentation.

* Preparation: Guardians must ensure participants are equipped according to the official Packing Guidelines, prioritizing appropriate attire for the destination’s climate and cultural norms.

IV. CONDUCT AND SECURITY POLICIES

A. Required Conduct

* Punctuality: Absolute adherence to departure and assembly times is required.

* Visual Identity: When issued, CheckWorld branded gear must be worn to ensure group recognition and security.

* Cultural Compliance: Questers must strictly respect the laws and traditional customs of the host communities.

* Digital Responsibility: Social media usage must respect the privacy of others. Posting images of fellow participants or community residents without explicit permission is prohibited.

 

B. Prohibited Conduct

The following actions result in immediate disciplinary intervention:

 * Bullying, harassment, discrimination, or any disruptive behavior.

 * Possession or use of alcohol, tobacco, or illicit substances.

 * Theft, vandalism, or intentional damage to property.

 

C. DISCIPLINARY MEASURES

Violation of the prohibited conduct policies will result in:

  1. Immediate Dismissal: The offender and their associated group will be removed from the expedition immediately.

  2. Permanent Disqualification: The offender and the sponsoring organization may be barred from all future CheckWorld programs.

  3. Financial Restitution: The responsible organization will be held liable for any intentional property damage.
