CHECKWORLD PARTICIPATION GUIDELINES

As part of our commitment to providing safe, educational, and enriching experiences, participants must adhere to the following guidelines: These rules ensure a respectful, responsible, and rewarding journey for everyone. By signing up for a school trip program, you agree to comply with these terms.

DEFINITIONS

- “CheckWorld” refers to CheckWorld coordinators, trip specialist, travel-hand and other staff members.

- “Programs” all School Trips offered by CheckWorld.

- “Participants” participating School (which includes its school administrators, participating students, their parents, and convoying teachers).

1. TERMS AND CONDITIONS

PARTICIPATION

- Participating student must be at least 6 years old or as specified for said program, and must belong to a learning year level (K1 to Grade 12) of said participating school.

- Participants must control and manage their behavior at all times.

- CheckWorld reserves the right to refuse participation or dismiss any individual due to behavior, health concerns, or safety risks.

- CheckWorld does not have facilities for special needs or physically challenged children and as such cannot receive registration of said proposed participants.

SAFETY

- CheckWorld ensures the safety and well-being of all participants during its trip programs.

- Participants must follow instructions and guidelines provided by CheckWorld.

 

LIABILITY AND RISK

- CheckWorld assumes no liability for injuries, losses, or damages beyond its control.

- Participants assume all risks associated with program participation.

PHOTOGRAPHY AND MEDIA

- CheckWorld reserves the right to use participant images and feedback for promotional purposes.

 

CANCELLATIONS AND CHANGES

- CheckWorld reserves the right to cancel or modify programs due to unforeseen circumstances.

GOVERNING LAW

- These terms and conditions are governed by and construed in accordance with the laws of the designated state/county/country of the trip program.

 

By applying to participate in CheckWorld programs, you acknowledge that you have read, understood, and agreed to these terms and conditions.

2. RULES & RESPONSIBILITIES

FOR STUDENTS

​​✔ Respect & Responsibility: Respect fellow participants, educators, and the communities we visit.

✔ Respect for Others: Treat fellow participants, guides, educators, and locals with courtesy and kindness.

✔ Follow Instructions: Adhere to the directions of trip leaders, chaperones, and guides at all times.

✔ Stay with the group: No wandering off. Never go anywhere alone. Always use the CheckWorld buddy system and inform your chaperones of your movements.

✔ Participation & Engagement: Engage in discussions. Ask questions and take notes. 

✔ Code of Conduct: No Disruptions. Avoid disruptive behavior during guided sessions. Disruptive behavior or inappropriate actions will result in dismissal from the program. 

✔ Emergency Protocols: Know the emergency contacts and procedures shared by your trip leader.

✔ Health & Well-being: Inform your chaperone of any medical concerns. Carry necessary medication and stay hydrated.

✔ No Excessive Screen Time: Stay present in the moment. Avoid overuse of electronic devices.

 

Accommodation & Transportation Rules

✔ Respect Shared Spaces: Keep rooms, buses, and communal areas clean.

✔ Lights Out Policy: Follow curfews and quiet hours set by chaperones.

✔ No Unauthorized Room Visits: Only enter designated areas. 

✔ Personal Belongings: Keep track of your items. CheckWorld would not be responsible for lost or stolen belongings.

 

FOR EDUCATORS/CHAPERONES

✔ Supervision: Maintain a watchful presence over your students, ensuring they follow all safety guidelines and behave appropriately.

✔ Facilitation: Encourage your students to engage with the learning material and cultural experiences. Your role is to guide, mentor, and support their curiosity.

✔ Emergency Preparedness: Be familiar with the emergency protocols and have access to students’ medical information if needed.

✔ Collaboration with CheckWorld: Work closely with CheckWorld to ensure a smooth and rewarding experience for your students.

 

FOR SCHOOL HEADS AND ADMINISTRATORS 

✔ Student Selection & Preparation: Ensure students who participate meet eligibility requirements and are prepared academically and behaviorally for the trip.

✔ Liaising with Parents: Communicate with parents regarding program details, schedules, and requirements. Parents must provide accurate medical information and disclose any medical limitations, allergies, etc. of their child before trip date.

✔ Trip Logistics: Work with CheckWorld to provide necessary school approvals and coordinate transportation details.

✔ Emergency Contacts: Provide updated emergency contact details for all participants.

 

FOR PARENTS AND GUARDIANS

✔ Registration & Consent: Submit all required information, as well a signed consent for participation.

✔ Medical & Special Needs Disclosure: Provide accurate medical details, allergies, and any special needs of your child.

✔ Packing Guidelines: Ensure your child is equipped with appropriate clothing, personal hygiene items, and any required medications.

✔ Communication: Stay informed about the trip schedule and maintain contact with the school in case of emergencies.

✔ Early Pick-up: Notify the school in advance if an early pickup is necessary.

3. GENERAL SAFETY & PROGRAM POLICIES

✔ Zero Tolerance for Misconduct: Any participant violating CheckWorld’s policies will be removed from the program.

✔ Be Punctual: Arrive on time. Delays affect the entire group.

✔ Dress Appropriately: Pack comfortable, appropriate attire suitable for the trip’s activities, destination’s climate and cultural norms.

✔ Dress Code: CheckWorld Gear- If provided, wear CheckWorld branded clothing and identification for easy recognition. ✔ Foot Wear: Wear comfortable shoes (sneakers preferably. Velcro is recommended).

✔ Social Media Sharing: Respect privacy; do not post photos or videos of others without permission.

✔ Electronic Devices: Use phones and cameras responsibly. Ensure they do not distract from learning experiences or disrupt the group.

✔ No Unauthorized Departures: Always remain with assigned group. 

✔ Compliance with Local Laws: Adhere to the laws and cultural norms of the destinations visited.

 

Prohibited 

❌ Bullying. Harassment. Discrimination. 

❌ Alcohol. Drugs. Smoking. 

❌ Theft. Vandalism. 

❌ Disrespectful behavior.

 

🚨  Disciplinary Measures

- Immediate dismissal from program.

- Damage to property— intentional or accidental— must be compensated for.

- Future disqualification from CheckWorld programs
